How to use the email signature generator
Build a compact signature with your identity, contact details, company logo, and social profiles. This free email signature generator creates a table layout with inline styles and offers both rendered signature copying and HTML source copying.
- Enter your name, designation, and company. Add only the contact details recipients need.
- Provide full HTTPS URLs for your website, public logo, and social profiles. Invalid URLs are excluded and flagged before copying.
- Choose an accent color with sufficient contrast. Inspect the logo and long contact details in the preview.
- Use Copy signature to place rich HTML on the clipboard for a signature editor, or Copy HTML to obtain the source for a compatible integration.
- Follow the Gmail or Outlook steps below, send a new message, and inspect the received signature on desktop and mobile.
Install your signature in Gmail
In Gmail on the web, open Settings, choose See all settings, and open the General tab. Find Signature, select Create new, and give the signature a recognizable name. Use Copy signature in this tool, then paste into the Gmail signature editor. Choose the signature defaults for new emails and replies if you want automatic insertion. Scroll down and select Save Changes. Send a test message to another account. Gmail mobile apps can have separate signature settings, so verify those independently.
Install your signature in Outlook
In new Outlook or Outlook on the web, open Settings and find Accounts, then Signatures; some versions place signatures under Mail and Compose and reply. Add a signature and paste the rendered content using Copy signature. Choose defaults for new messages and replies and save. In classic Outlook for Windows, open File, Options, Mail, then Signatures. Create a signature, paste it into the editor, select the account defaults, and confirm. Menu names vary by edition and update, so search Settings for signature if needed.
Logo and contact detail best practices
Use a small logo on a stable public HTTPS host and keep permission to display the asset. A signature image can be blocked by recipients, so the generator includes a company based alt description and keeps identity information as text. Avoid private cloud sharing URLs that require authentication. Long legal statements, several banners, and many social links can overwhelm a short reply. Keep the signature compact and test the appearance after multiple replies, not just in a new message.
Copying HTML versus copying a signature
Most Gmail and Outlook signature editors expect rendered rich content rather than raw HTML code. Copy signature writes an HTML clipboard item when the browser supports it. Copy HTML writes the source as plain text, which is useful in a template editor that explicitly accepts HTML. If clipboard permissions are blocked, select the source field manually or use a browser that supports rich clipboard writing. Client editors may rewrite formatting after paste, so the received message is the final check.
Common questions
Can I use an uploaded logo?
This version accepts a public HTTPS logo URL. Host the image on your own website or another trusted public image host.
Why did raw HTML appear in my signature editor?
Use Copy signature rather than Copy HTML when pasting into Gmail or Outlook rich text settings.
Will my signature sync to mobile?
That depends on the email client and account configuration. Check mobile signature settings and send a test from each device.
